The FINANCIAL — Xerox Corporation is helping organizations cut wasteful spending by combating cost consuming paper-driven work processes with two new DocuShare enterprise content management (ECM) offerings.
Xerox's DocuShare Virtual Filing System reduces the need for physical filing cabinets and gives workers immediate access to the information they require. The system includes a document storage assessment, scanning technology, software, set up and user training. Once paper archives are uploaded into the virtual filing system's drawers, documents can be searched by name, category and type.
The offering draws upon Xerox's expertise of turning paper documents into digital content. DocuShare™ has helped many organizations make the transition, including:
California's Manteca Unified School District eliminated 200 filing cabinets by using DocuShare to digitally store documents, freeing classroom space and saving an estimated $300,000 in storage costs.
U.S. Pretrial Services in Los Angeles, a division of the U.S. District Court, used DocuShare to reduce paper by 50 percent, while eliminating 12 filing cabinets full of hard copy documents. The solution allows employees to instantly access critical legal case file information.
City and County offices in Honolulu sped up the processing of more than 75,000 absentee voter ballots during election season, by electronically storing signatures in DocuShare for quick retrieval during the authentication process. The organization can now process anywhere between 5,000 and 9,000 ballots a day.
"The sheer volume of documents circulated on a daily basis is forcing businesses to reassess their enterprise content management needs," said David Smith, vice president, DocuShare Business Unit, Xerox Corporation. "The DocuShare Virtual Filing System, a one stop ECM shop, provides the analysis, tools and training to effectively transform large volumes of paper documents into digital format – opening the door to a more productive workplace and significant savings."
Xerox also unveiled DocuShare 6.5, an upgrade to its existing version. DocuShare 6.5 can store more than 50 million documents, perform search queries within seconds and supports intake of up to one million imaged documents per day. DocuShare 6.5 is also the software in the Virtual Filing System package.
